What you may edit

  • [Candidate name], [Position title], [Department]
  • [Salary] and [FTE / schedule]
  • [Anticipated start date] — anticipated, never confirmed until clearance
  • [Reporting manager]

What you may not change

The at-will statement, the contingency language (background check + I-9), and the benefits-eligibility paragraph are standard. If a candidate asks for a change to any of these, route it to HR — do not edit the letter yourself.

Before you send

  • Confirm the salary is within the approved range for the requisition.
  • State clearly that the offer is contingent on a clear background check.
  • Give a deadline to respond, and a name to reply to.
